Free Letter of Intent Generator
for Graduate Admissions
Generate a compelling Letter of Intent (LOI) β required by some universities for graduate admissions, research programs, and scholarship applications. Professional, structured, and internationally standard.
- Delete anything that did not come from you, however well it reads.
- Check every figure, name, date, grade and title against your own records.
- Confirm the supervisor's name, department and research area on the university page.
- Rewrite a good share of it in your own words β committees screen for AI text.
- Confirm the word limit and the file format on the official portal before you submit.
When a Letter of Intent Is the Right Document
A letter of intent states a decision. It tells a department that you intend to enrol in a named programme, starting in a named intake, to work on a named problem β and it does so in the first two sentences. Where a personal statement persuades and an SOP explains, an LOI declares.
That directness is why the tone differs. No childhood anecdote, no scene-setting, no emotional opening. An admissions officer reading an LOI wants four facts quickly: who you are, what you intend to study, with whom, and whether you are prepared for it.
The document appears in four situations, and each shifts the emphasis slightly: graduate admission, joining a specific professor's lab, accompanying a scholarship application, and proposing a research collaboration. The tool above adjusts the structure to whichever you pick.
Letter of Intent, SOP or Cover Letter?
These three get confused constantly, and sending the wrong one signals that you skimmed the instructions.
| Letter of Intent | Statement of Purpose | Cover Letter | |
|---|---|---|---|
| Does | Declares an intention | Explains an academic plan | Introduces an application |
| Format | Formal letter with header, date and subject line | Essay, no letter formatting | Business letter, one page |
| Length | 400β900 words | 800β1,200 words | 350β500 words |
| Opens with | The intent itself, stated plainly | Your field and its open problem | What you are applying for |
| Tone | Institutional and direct | Measured and academic | Professional and brief |
| Asked for by | North American graduate departments, research groups, some funders | US graduate schools, CSC, MEXT | Universities and departmental funding |
One practical rule: if the application also asks for an SOP, keep them different. The SOP carries your reasoning and your research plan; the LOI carries your decision and your fit. Build the longer document with our SOP generator first.
The Structure Departments Expect
Word counts assume a 650-word letter. The proportions matter more than the totals β the intent paragraph should always be the longest.
- Header and subject lineYour name, address, email and phone. The date. The recipient's block. Then a subject line naming the programme, the degree and the intake. Above the salutation
- The declarationTwo sentences. "I am writing to confirm my intention to enrol in the MSc in Water Resources Engineering at the University of Toronto for the September 2027 intake, with the aim of investigating nitrate accumulation in semi-arid shallow aquifers." Nothing before it. 50β70 words
- Academic credentialsDegree, institution, standing, the coursework and thesis that prepared you for this specific programme. 90β120 words
- Research and professional preparationProjects, positions, publications, tools. Evidence that you can do the work, not merely that you want to. 90β120 words
- The intent in detailThe longest and most important paragraph. What exactly you will investigate, under whom, and which features of this department make it possible β the laboratory, the dataset, the field station, the supervisor's published work. 150β200 words
- GoalsShort-term and long-term, stated concretely, with what you will do after the degree and where. 90β120 words
- CloseConfirm the intent once more, offer any further information, sign off. No pleading and no thanks. 40β60 words
Weak Versus Strong β the Same Opening
Six Mistakes That Weaken an LOI
1. Writing an SOP and calling it a letter
A narrative opening, no header, no subject line, no date. The department notices immediately.
Fix: keep the letter format, and state the intent in sentence one.2. Naming no supervisor for a research programme
For a PhD or a lab position, a letter that names nobody reads as a letter sent everywhere.
Fix: name one or two researchers and connect their published work to your own.3. Vague research intent
"I intend to study environmental engineering" states a field, not an intention.
Fix: name the problem, the region or sector, and the method if you have one.4. Praising the institution
"Your world-renowned department" tells them what they already know and burns the space where your fit belongs.
Fix: name a laboratory, a dataset, a field station or a module.5. Running past one page
Several departments cap the LOI at a single page, and a long letter signals that you cannot prioritise.
Fix: check the stated limit; with none given, stay near 650 words.6. Hedging at the close
"I hope you will consider my application" undoes a confident letter in one sentence.
Fix: restate the intent and sign off. "Yours sincerely" with a named recipient; "Yours faithfully" without.Writing to a Professor Before You Apply
For PhD and lab positions, the LOI often follows a first email β and that email decides whether anyone reads the letter at all.
Keep the first message under 250 words. Say who you are, what you propose, why their group specifically, and what you bring. Attach a CV and a one-page summary. Read three or four of their recent papers properly before you write, and refer to one of them in a way that proves you read it rather than searched it.
Expect silence from most. A response rate near one in six is normal, so write to fifteen or twenty relevant researchers over several weeks and follow up once after ten days. Target the researcher whose published work overlaps yours rather than the most famous name in the department β a mid-career academic with funded projects has more capacity and more reason to say yes. Our cover letter generator drafts that first email.
A Complete Sample Letter of Intent
This runs to 640 words and follows the structure above. The applicant is invented, but the shape, the level of detail and the way each claim carries evidence are what a graduate department expects. Read how often a named number, place or paper appears.

Re: Letter of Intent β MASc in Water Resources Engineering, September 2027 intake
Dear Graduate Admissions Committee,
I am writing to confirm my intention to enrol in the MASc in Water Resources Engineering at the University of Toronto for the September 2027 intake. I intend to work on nitrate accumulation in shallow alluvial aquifers under intensive agricultural runoff, extending the groundwater quality survey I ran across eleven union councils of Kasur District between March 2024 and July 2025.
I completed a BSc in Civil Engineering at the University of Engineering and Technology, Lahore, in 2024, graduating with a CGPA of 3.71 and standing sixth in a cohort of 142. My final-year thesis measured nitrate concentration at 96 hand-pump sites across Kasur and found 41 of them above the WHO guideline of 50 mg per litre. The coursework that prepared me most directly was Groundwater Hydrology, Environmental Engineering Chemistry and Numerical Methods, the last of which introduced me to finite-difference solvers I later used in MODFLOW.
Since August 2025 I have worked as a Junior Engineer with the Punjab Irrigation Department, where I maintain the district monitoring-well network and process quarterly water quality returns from 38 sites. That work put me in front of the gap between sampling design and what the field actually delivers: two of our wells had been dry for three seasons while still appearing in the quarterly return. I rebuilt the sampling schedule around well status and presented the revision at the departmental review in January 2026. I work in MODFLOW, QGIS, R and Python, and I co-authored a conference paper on nitrate transport in the Ravi floodplain presented at the Pakistan Engineering Congress in 2025.
At Toronto I intend to model nitrate transport in the Kasur aquifer using the reactive transport framework developed in Professor Sarah Mitchell's group, and to test whether the travel-time distributions her 2024 paper reports for Ontario tile-drained fields hold in an unlined canal-irrigated system. Two features of the department make this possible. The first is the Environmental Hydrology Laboratory, where the isotope work that would separate fertiliser nitrate from septic sources can actually be run. The second is the department's joint field programme with the Ontario Ministry of the Environment, which would give me a calibrated dataset to validate the model against before I apply it to Pakistani data, where no such record exists. I have my own field measurements from 96 sites to bring with me.
In the short term I intend to complete the MASc and publish the Kasur transport model as a method other districts can reproduce. After the degree I will return to the Punjab Irrigation Department, where groundwater quality currently sits with no modelling capacity at all, and work towards a provincial nitrate-risk map that ranks aquifers for intervention. Within a decade I intend that ranking to be what determines where treatment money goes, rather than the district-level averages used now.
I would be glad to provide transcripts, my thesis, the Kasur dataset or anything else the committee requires. I confirm my intention to enrol should my application succeed.
Yours sincerely,
Ayesha Noor
Where the Letter of Intent Is Actually Requested
The term travels badly between systems, so check the exact wording of your own application before you decide which document to write.
| System | What they usually ask for | Notes |
|---|---|---|
| Canada | Letter of Intent | The standard term at most Canadian graduate departments. Often capped at one page or 1,000 words. |
| United States | Statement of Purpose, sometimes an LOI for a lab | An LOI here usually means the email and letter you send a professor before applying. |
| United Kingdom | Personal Statement | Research degrees ask instead for a research proposal. An LOI is rarely named. |
| Netherlands, Germany, Nordics | Letter of Motivation | Closer to an LOI than to a UK personal statement: direct, structured, fit-focused. |
| Scholarship bodies | Varies by award | Chevening, DAAD and Erasmus Mundus each name their own essays. Read the guidance, not the forum post. |
When an application names a document you have not written before, write what the guidance describes rather than what the title suggests. A page that asks for "a letter of intent of no more than 500 words outlining your motivation" wants a motivation letter with a letter format, whatever it is called. Our personal statement and SOP tools cover the other two shapes.
Letter of Intent Questions Students Ask Us
Is a letter of intent the same as a statement of purpose?
No. An LOI is a formal letter that declares an intention, with a header, a date and a subject line. An SOP is an essay that explains your academic plan. Where both are asked for, they must differ.
How long should it be?
Follow the stated limit. With none given, 550 to 700 words, kept to one page.
Do I need to name a supervisor?
For a PhD, a research position or a lab, yes. For a taught Master's, naming the research group or the modules is enough.
Can I send one letter to several universities?
Keep paragraphs three and four, and rewrite the declaration, the intent paragraph and the fit. Those are exactly where a recycled letter shows.
Should I mention funding?
Only when the application asks, or when you hold or have applied for a named award β that is useful information for a department. Never make the letter about money.
What if I have not decided between two programmes?
Then it is not yet a letter of intent. Departments read this document as a commitment, and hedging in it reads worse than not sending one.
Will a committee detect AI writing?
They screen for it, and a generic intent paragraph gives it away fastest. Replace every general line with your own problem, place, dataset and names.
Is this generator free?
Yes, like every tool on ScholarWing. No account, no card.
