Free Offer Acceptance Letter
Generator for Students

Write the formal letter you send back to a university when you accept an offer, accept a scholarship, decline politely, or ask to defer. Six letter types, each in the wording admissions offices expect.

✅ Accept an offer 🎓 Accept a scholarship ↩️ Decline politely 📅 Request a deferral 📄 PDF & Word
Read this first. This tool writes the letter you send to a university. It does not, and will never, produce an admission or acceptance letter in a university's name. Those documents come only from the institution itself, on its own letterhead, and creating one is forgery — people have lost visas and places over it. If you are looking for that, what you actually need is on the university portal, and the section below explains how to check that an offer you received is genuine.

What Are You Writing?
Each letter follows different conventions
📌 Why this letter matters. An acceptance reply is a contractual step, not a courtesy. It confirms which offer you are taking, commits you to a deposit and a deadline, and becomes part of your file for the visa application. Universities keep it. Write it carefully and keep your own copy.
✅ Accept an unconditional offerYou have met every condition
📝 Accept a conditional offerResults or documents still pending

↩️ Decline an offerCourteously, keeping the door open

⚠️ Take every detail below from the official offer document. A reply quoting a wrong reference number or programme title creates a mismatch in your file, and mismatches delay visas.

Tone & Length
Formal letters stay short
An acceptance letter is a short administrative document. Anything past 300 words starts repeating itself, and admissions officers read hundreds of these a week.

Two Different Documents, Often Confused

Students search for "acceptance letter" meaning two opposite things, and the confusion causes real harm.

Offer / admission letterOffer acceptance letter
Who writes itThe universityYou, the student
What it saysWe offer you a placeI accept the place you offered
Where it comes fromThe admissions portal or official emailYou write and send it
Used for a visa?Yes — this is the document embassies wantSometimes, as supporting evidence
Can anyone else produce it?No. Only the institutionYes, it is your own letter
This tool writes the second one only. No website, agent or AI can issue the first. A document claiming to be a university offer that did not come from that university's own portal or domain is worthless at best and a forged document at worst. Presenting one to an embassy is a criminal matter in most countries, and it carries a visa ban that follows you for years. If someone offers to "arrange" an admission letter for a fee, they are selling you a ban.

How to Check That an Offer You Received Is Real

Fake offer letters circulate widely, usually attached to a request for a "processing fee" or a "seat confirmation deposit" paid to a personal account. Five checks settle it in ten minutes.

1. Log into the portal yourself

A genuine offer appears in the application portal you used, not only in an email. Type the university address into your browser rather than clicking a link in the message.

If it is not in the portal, it is not an offer.

2. Look at the sender's domain

Official mail comes from the university's own domain. A Gmail, Outlook or lookalike domain with an extra letter is the commonest forgery.

Compare the domain character by character against the university's website.

3. Check what they are asking you to pay, and to whom

Universities take deposits through their own payment system and issue a receipt. They never ask for money into a personal account, and never through a money transfer service.

A personal account is proof of fraud, whatever the paperwork looks like.

4. Write to the admissions office directly

Find the contact address on the university website, not in the suspicious email, and ask them to confirm the reference number.

A genuine office will confirm within a few working days.

5. Be sceptical of an offer you never applied for

Universities do not send unsolicited offers, and no legitimate scholarship selects someone who never submitted an application.

An unexpected award is the oldest scam in this field.
ScholarWing never asks any student for payment — not for an application, not for a document, not for a "seat". If a message using our name asks for money, it is not from us. Write to us at scholarwingofficial@gmail.com and we will confirm.

What Belongs in an Acceptance Letter

Six elements, in this order. The whole thing fits on one page.

ElementWhy it is there
Your details and the dateIdentifies the sender and dates the acceptance
Recipient block and a subject lineRoutes the letter to the right file
The acceptance itself, in sentence oneLeaves no doubt what the letter is for
Programme, intake and reference numberMatches the letter to your application
Outstanding conditions or depositsShows you understand what is still owed
What you need from them nextThe admission letter, CAS or confirmation for your visa

What does not belong: your life story, gratitude stretched over a paragraph, or a restatement of why you applied. They admitted you already.

Re: Acceptance of offer — MASc in Water Resources Engineering, September 2027 (Application 100234567)

Dear Graduate Admissions Office,

I am writing to accept the offer of admission to the MASc in Water Resources Engineering for the September 2027 intake, made in your letter of 12 March 2027, reference ADM/2027/4412.

I confirm that I have read and accept the terms set out in the offer, including the tuition deposit of CAD 1,000, which I paid through the student portal on 2 April 2027. The transaction reference is TOR-4471902.

Two conditions remain outstanding. My final semester transcript will be issued by the University of Engineering and Technology Lahore on 20 June 2027, and I will upload it the same week. My IELTS result is already on file at 7.0 overall.

I would be grateful if you could issue the formal admission letter, which I need for my Canadian study permit application. I am glad to provide anything further that would help.

Yours faithfully,
Ayesha Noor

What makes this work. Every reference number, date and amount matches the offer document. The acceptance appears in the first sentence. The outstanding conditions are named with dates rather than promised vaguely. And the letter asks clearly for the one document she needs next.

Declining an Offer Without Burning the Bridge

Declining feels awkward and takes four sentences. Do it anyway, for two practical reasons: your place goes to someone on the waiting list, and academic circles are small enough that the person reading your decline may sit on a panel you face later.

Say that you are declining, name the programme and intake so they can find your file, give a brief and honest reason if you have one, and thank them once. You owe nobody a detailed explanation, and "I have accepted a funded place elsewhere" is a complete answer.

Decline as soon as you decide. Holding an offer you will not take blocks a place for weeks, and universities notice applicants who do it repeatedly.

Deferring a Place

Most universities allow a deferral of one year, though not all, and funded places are the common exception — a scholarship rarely defers with the offer, because the money belongs to a particular year's budget.

Ask early, state the reason plainly, and name the intake you want. Visa delays, medical reasons and family circumstances are all accepted routinely. Ask specifically whether any scholarship attached to your offer defers with it, because assuming it does has cost students their funding.

Questions Students Ask Us

Can this tool make an admission letter from a university?

No, and no tool should. Only the university issues that document. Creating one is forgery, and using it for a visa carries criminal penalties and a long ban.

Is a letter enough, or must I accept in the portal?

Most universities require you to accept in the portal, and the letter is supporting documentation. Do both, and treat the portal step as the one that counts.

Can I accept two offers while I decide?

Where deposits are involved, you pay twice and usually lose one. Some systems prohibit holding two firm acceptances at all. Ask for more time instead — that letter type is in the tool.

What if I accept and then change my mind?

Tell them immediately and in writing. Deposits are often non-refundable, but withdrawing early is far better than not turning up.

Do I need to sign it?

A typed name is normally enough for email. If the offer asks for a signed copy, print, sign, scan and return it as a PDF.

Which name should I use?

Exactly the name on your passport, in the same order. Any difference between your acceptance, your offer and your passport creates work at the visa stage.

Is this generator free?

Yes, like every tool on ScholarWing. No account and no card.

Place accepted? The visa file is next.

Most embassies want the admission letter, proof of funds and your academic documents together.
